How to clear Recents and Recent Items on a Mac

To clear the Apple menu’s list, choose Apple menu › Recent Items › Clear Menu. Finder’s Recents is a search view of actual files, so do not select everything and delete it. Hide that sidebar entry instead, and clear an app’s Open Recent menu separately when needed.

Three lists with different behavior

The word “recent” appears in several places on a Mac. The controls do not all operate on one shared list, and clearing one does not establish that every trace of a document has disappeared.

PlaceWhat you are seeingSuitable action
Finder › RecentsA search view presenting actual files.Hide the sidebar entry if you do not want the view.
Apple menu › Recent ItemsShortcuts to recent apps, documents and servers.Use Clear Menu.
An app’s File › Open RecentThat app’s document history.Use its own Clear Menu control when available.

If you actually want to delete a document, locate and review that document and its backup first. A privacy tidy-up of shortcuts is not the same job as removing the underlying files.

Hide Finder’s Recents without deleting files

  1. Open Finder settings. Bring Finder forward and choose Finder › Settings.
  2. Open Sidebar. Review the items shown in the sidebar.
  3. Deselect Recents. The shortcut disappears from that sidebar. You can select it again later.
  4. Choose a preferred starting folder if useful. In Finder’s General settings, review “New Finder windows show” and choose a folder you use.

This changes navigation, not the existence of the files. Finder’s Recents is not a physical folder containing expendable duplicate copies. Our read-only check of Finder’s built-in saved-search resource on macOS 27.0.1 found a metadata query using last-used information and a user-file search scope.

That distinction is why Command-A followed by Move to Trash is unsafe as a way to clear Recents. It operates on selected real files. Hiding the view leaves those files in their existing locations and does not claim to erase the metadata behind the search.

Clear Apple menu › Recent Items

Choose Apple menu › Recent Items › Clear Menu. Apple documents this for the menu’s recent apps, documents and servers. It removes the shortcuts from that menu; it does not uninstall the apps, delete the documents or remove the servers.

Open the menu afterward to check its state. New activity can add new entries. A list repopulating after you open another document does not mean a cleaner failed or restored an old deleted file.

This is also separate from the Dock’s suggested and recent apps. That section has its own Desktop & Dock setting. Removing a recent-app shortcut from the Dock does not clear an app’s document history.

Change how many recent items are shown

The location differs by macOS version. Apple’s pinned macOS 15 guide places the recent-item count in System Settings › Control Center. Its macOS 26 and current guides place it in System Settings › Menu Bar, beside Recent documents, applications, and servers.

Choose the count you want; if your version offers None, that is the option for no entries in that menu. Apple’s current written instructions describe choosing a number without enumerating every menu choice, so follow the choices displayed on your Mac.

Reducing this count is not a global privacy switch. An app can keep its own history, the Finder can still search real files, and browser history has separate controls. Do not disable Spotlight indexing just to hide a sidebar view.

Clear an app’s Open Recent list

Open the app and inspect File › Open Recent. Many Mac document apps provide Clear Menu there. Apple’s Logic Pro 10.7 guide documents that command for its recent-project submenu, for example. Other apps use their own recent-document interface and may need the developer’s instructions.

Use the app’s clear-history control, not a Delete command on a document tile, unless you intend to delete the document. A recent-project browser can mix shortcuts, local documents and cloud documents with different actions.

Close the document normally before clearing the list if reopening or saving it immediately recreates an entry. This is not a promise that all apps share the same history or that a currently open file can never appear again.

What this does not clear

Web browsing and search history remain separate. Use the browser history guide for Safari, Chrome and Firefox. Cache and cookies have different purposes again; see the cache guide before removing stored website data.

Clearing a menu also does not remove backups, document versions, a cloud service’s activity record or another user’s account history. For a shared Mac, a separate user account and the screen lock are more reliable boundaries than repeatedly hiding shortcuts.

We did not clear histories or change Finder settings while writing this guide. The steps describe documented controls, plus the read-only saved-search inspection, without claiming a forensic erasure result.

Where Tend fits

Tend’s Privacy view can inspect supported Recent Items lists. macOS protects their storage, so Tend needs Full Disk Access to see and clear them. Free scanning is read-only; a missing permission is not reported as proof that no lists exist.

With Pro, you can review the selected list files and move them to Trash. Tend targets recent-list files, leaving Finder sidebar favorites alone. It does not delete the documents referenced by those lists or empty Finder’s Recents search results.

Quit the relevant apps and review the selection; an app can create a fresh list when used again. The built-in Clear Menu controls remain enough when you only need one menu cleared.

Questions

Can I empty Finder Recents without deleting files?

Do not delete the selected results to clear the view. Hide Recents in Finder › Settings › Sidebar; this changes navigation while leaving the real files in place.

Does Clear Menu delete my documents?

Apple menu › Recent Items › Clear Menu removes menu shortcuts. It does not delete the underlying documents. An app’s document-delete command is a different action.

Why do recent items come back after clearing?

Opening apps and documents can populate the relevant lists again. Finder Recents, Apple menu Recent Items and an app’s history are separate views or lists.
